International Center for Tropical Agriculture Recruiting an Administrative/Finance Assistant for The International Potato Center

The Position:

CIP is seeking to recruit a self-motivated Administrative/Finance Assistant to provide administrative and financial support to CIP projects in Rwanda.

The selected candidate will work under the supervision of the Scaling Up Sweetpotato Through Agriculture and Nutrition (SUSTAIN) project leader in Rwanda.

The position is based at CIP office in Kigali. CIP in Rwanda is hosted by the International Centre for Tropical Agriculture (CIAT).

Key responsibilities will include:

Accounts:

  1. Monthly preparation of the cash flow and analysis of advance accounts, petty cash accounts, reimbursements, payments and any other accounts related with the operations of the office;
  2. Monthly bank reconciliations;
  3. Funding status control including Budget monitoring and analysis;
  4. Control of fixed assets and management of Office Insurance cover (including vehicles);
  5. Control of tax recovery and remittance to relevant Government authorities;
  6. Filing of accounting information duly supported by invoices or contracts.

 Administration:

  1. Maintenance of office décor,  ensuring availability of office stationery and sundry;
  2. Make travel arrangements for staff, CIP visitors and collaborators;
  3. Arranging staff meetings, project workshops and taking minutes as requested;
  4. Coordinating motor vehicle maintenance, service and supervising the drivers;
  5. Keep inventory and manage maintenance of office equipment;
  6. Handle telephone calls/faxes, receive and assist visitors to the office;
  7. Organize and maintain filling system for the office;
  8. Implementation of CIP policies and procedures;
  9. Perform any other duties as may be assigned.

Requirements:

.Bachelor’s degree in Business Administration-Accounting or other related formal academic qualifications.

.At least 3 years relevant experience of which 2 years should be in a similar (Accounts/administrative) position, preferably in an International Organization or Foreign Mission.

.Good knowledge of rules, regulations and procedures of government and related agencies.

.Possess excellent interpersonal and communication skills, good judgement and a high level of respect for confidentiality.

.Strong ability to co-ordinate, prioritise and organize workload; take initiative and work under pressure.

.High level of computer skills with ability to learn new applications quickly.

.Ability to work in a multi-cultural environment.

.Competent driver with current valid driving license

.Willingness to work on weekends if circumstances require

.Fluent in oral and written English and French.

Terms of offer:

This is a national position and will be for an initial period of Two (2) Years, renewable subject to three (3) months’ probation, assessment of performance, and availability of resources.
